Job Location: Singapore

As an Accounts Assistant, you will be a part of ZACD POSH’s Finance department. You will assist the Finance Manager and senior management in recording, reporting and managing company’s finances. You will also be required to provide administrative support.

JOB RESPONSIBILITIES
  • To be a part of the Finance team responsible for maintaining a well-organized and accurate Accounting function
JOB DUTIES
  • To manage day to day operations of the accounts department
  • To manage accounts payable and receivable in a timely manner
  • To establish and maintain fiscal files and records to document transactions
  • To maintain and reconcile cash / financial accounts
  • To maintain spreadsheets for monitoring and analyzing accounting data and prepare financial reports
  • To prepare table of accounts, assign entries to proper accounts to ensure proper accounting methods, principles and policies are being followed
  • To enforce credit control
  • To complete and coordinate annual audits and provide recommendations for improving procedures and systems for initiating corrective actions
  • Any other ad-hoc duties as assigned by the Management
REQUIREMENTS
  • Educational Qualification Required: Degree in Accounting or Commerce
  • Minimum Experience Required: 2-3 Years
  • Excellent organization and administrative skills with attention to detail
  • Thorough knowledge and understanding of the accounting principles, practices, standards and laws & regulations
  • Thorough working knowledge of MS Office and accounting software & databases
  • Proficiency in analyzing and manipulating huge volume of data

JOB RESPONSIBILITIES:
  • Being the focal point of contact, you will be responsible for the overall operations and property management matters for the assigned properties, as well as preparation of budgeting and reports for MCST & TOP Projects.
  • You will engage actively in the tenant and occupier management, as well as supervision of vendors and service providers.
  • Coordinate work schedule(s) for building supervisor, fire safety manager and/or technician(s) assigned to the respective properties.
  • You will also conduct regular routine checks and recommend preventive measures on building structures, surrounding areas, mechanical & electrical equipment when required.
  • Managing facilities and its bookings and facilitate its’ maintenance.
  • Organise activities and put up decorations during major festive occasions.

JOB RESPONSIBILITIES:

  • Manage and maintain residential site as assigned.
  • Conduct regular checks and inspection on grounds to ensure effective management of the recreation facilities, common areas including car parks, landscape areas and all M&E plants, fixtures and fittings.
  • Responsible for other essential services and functions ranging from administrative, operations to finances relating to property management.
  • Prepare and issue Purchase Requisitions and Purchase Orders for procurements including renewal of term contracts.
  • Arrange and attend regular meetings with key service providers, vendors/contractors and Council Members, prepare or review minutes of meetings and follow on outstanding matters or course of actions.
  • Ensure high level of security, cleanliness and housekeeping within the estate. Evaluate term contractors’ performance and make recommendation(s) for improvement.
  • Ensure warranties, guaranties and defect liabilities are in compliance under the building statutory requirements.
  • Provide essential customer service support to the residents and Subsidiary Proprietors.
  • Ensure all residents’ feedback/enquiries are attended to promptly and efficiently and monies collected are handled with care.
  • Perform any other duties as assigned by the Management.
JOB REQUIREMENTS:
  • Diploma in Building / Facilities Management, Estate Management, Engineering or Higher NITEC in Facilities Management or equivalent preferred.
  • At least 2 years of relevant working experience, preferably in facilities and property management.
  • Experience in MCST environment will be an advantage.
  • Experience in Defects Management and Facility Management will be an advantage.
  • Fluent in spoken and written English, with knowledge of one additional major language commonly used in Singapore.
  • Customer-centric to liaise with the residents, Subsidiary Proprietors and Council Members.
  • Pleasant and approachable, organised, independent, and has the ability to multi-task.
  • Computer literacy

  • Provide day-to-day supervision of term and ad-hoc contract works in relations the Condominium facilities; duties to include but not limited to filing, preparation of invoices and system data entry.

Key Responsibilities

  • Provide secretarial and administrative support to the division to ensure smooth company operations
  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes

Key Roles:

  1. Internal Audit Responsibilities
    • Responsible for the Group’s operational controls by conducting regular audit on processes and ensuring compliance from all Business Units
    • Preparation of audit reports such as but not limited to Financial Audit Reports, upon analyzing control standards and advise the Board on recommendations for internal audit controls on a regular basis
    • Assist in the implementation of business control solutions and participate in meetings which involve audit and compliance matters.
    • Conduct ad-hoc investigations and reviews as requested by senior management or Board of Directors
    • Identify key areas of risk within the organization and propose appropriate controls to mitigate these risks, including proposing resources required
    • Main liaison for communication with external auditors
  2. Compliance Officer duties
    • To act as Compliance Officer cum AML/CTF Officer for the licensed entity – ZACD Capital Pte Ltd – overseeing all matters pertaining to compliance required under the Security and Futures Act and all related legislation (including but not limited supervising internal procedure, policies and the Company Compliance manual)
    • Advisory duties for policies and processes in relation to compliance with regulators (i.e. MAS), circulate MAS circular, alert and updates to all employees/representatives on a timely basis
    • Develop and implement compliance controls (e.g. risk management, audit and financial control) and responsible for the upkeep of the Group’s compliance manual on new control methods
    • Liaison with external compliance consultant for preparation of monthly compliance report, relevant forms and lodge relevant fillings and changes via either MAS online portal (i.e. MASNET) or personal delivery (i.e. Quarterly returns, Annual declarations, Annual returns, Appointment/ cessation of Representative/ director, etc.)
    • Responsible for the submission of the following to external compliance consultant on a monthly basis: Representative’s Register / Employees’ Personal Share Dealing Register / Gifts & Entertainment Register / Training Register / Complaints Register / Breaches & Errors Register /Suspicious Transactions Register (monitor for suspicious transactions and report it via MAS online portal (i.e. STROLLS))
    • Undertake other duties as may be required relating to Compliance

  • Oversees all aspects of production, often of multiple publications; copy editing, fact checking and quality assurance stages; often using desktop publishing or other publication-specific software tools;
  • Provides text and technical services to developing and maintaining Web pages and/or other forms of electronic communication;
  • Organizes copy flow, coordinates multiple production schedules and printing deadlines; troubleshoots and remedies related issues;
  • Coordinates relationship with vendors/readers/customers; negotiates, researches and coordinates requests for proposals (RFPs), and makes recommendations to manager on vendor relationships; May be responsible for managing to a prescribed budget, typically when coordinating production; may also participate in budget development by summarizing, researching, analysing past expenditures;
  • To serve as liaison to contributors/faculty/authors and others directly involved in the published work: solicits chapters, edits submissions, conveys editorial comments, resolves issues, ensures deadlines are met;
  • To ensure permissions standards for content and image are consistent and documented; may coordinate post production activities, such as mailing, mail house arrangements, coordinating copyright registration, and permissions activities.
  • To oversee distribution of press releases to media; take photographs; maintain photo, clip and contact files; may organize and over see photo shoots, reporter visits, media launches, and related events as directed;
  • To assist in distributing work to other staff members, students, interns, and temporary workers
JOB REQUIREMENTS:
  • Candidate must possess a Degree in Communications, or any related field.
  • At least 3 years of relevant working experience.
  • Strong working knowledge of printing, publishing and/or graphics arts procedures and related computer software and electronic communications tools
  • Proven command of editorial, grammatical, writing skills and techniques
  • Experience managing to a budget and with multiple deadlines required
  • Ability to work across teams and with a variety of projects, vendors and constituencies
