Job Location: Singapore

Job Responsibilities:
  • Provide day-to-day supervision of term and ad-hoc contract works in relations the Condominium facilities; duties to include but not limited to filing, preparation of invoices and system data entry.
  • Attend to feedback from residents and to recommend and take remedial action
  • Supervise contractors in building maintenance function
  • Support the Condominium Manager in obtaining quotations for the effective management of the facilities.
  • Any other ad-hoc duties as assigned by the Management.
Job Requirements:
  • Diploma in Building / Facilities Management / Electrical or Mechanical Engineering or related
  • Able to work under pressure
  • At least 1 year of relevant working experience.
  • Proficient in Microsoft Office applications: Excel, PowerPoint and Word.
  • Fluent in spoken and written English, with knowledge of one additional major language commonly used in Singapore.
  • Organized, independent, and has the ability to multi-task.
  • Friendly and pleasant disposition.
  • Able to work on weekends as required.

Key Responsibilities

  • Provide secretarial and administrative support to the division to ensure smooth company operations
  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes
  • Responsible for office space planning and allocation for the division
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
  • Ensure the smooth and adequate flow of information within the company to facilitate business operations in line with the Group
  • Responsible for managing office services by ensuring office operations and procedures are organized; correspondence is controlled; filing systems are designed; supply requisitions are reviewed and approved; and that clerical functions are properly assigned and monitored with the Admin department
  • Involved in special projects by organizing and coordinating information and requirements; planning, arranging, and meeting schedules; monitoring results
  • Prepare meeting and presentation materials for the Director
  • Monitor costs and expenses to assist in budget preparation
  • Ensure operations adhere to policies and regulations
  • Keep abreast with all organizational changes and business developments
  • Assist the divison in all service recovery processes in the event of a failure in the fulfilment of its contractual obligations
  • Any other ad-hoc duties required by the Director
